eBay seller level thresholds and what tips you down one
eBay grades sellers, and the grade is not cosmetic. It affects visibility, it affects fees, and it is calculated from a small number of measures that you can watch directly.
What is being measured
- Transaction defect rate - cancellations you caused and cases closed without resolution
- Late dispatch rate - measured against your handling time
- Cases closed without seller resolution - escalated to eBay and decided against you
- Valid tracking upload - a number provided on time
The common thread is that each one measures a promise broken rather than a customer being unhappy. Negative feedback alone does not appear here.
Evaluation is periodic, not continuous
Standing is assessed on a schedule against a trailing window. That has two implications: a bad patch keeps counting after you have fixed it, and a fix does not show up immediately.
Sellers panic between evaluations and make changes that have no effect on the number they are watching. The number was already determined.
The low-volume problem again
Percentages at low volume are unforgiving. A handful of transactions makes each individual defect a large proportion, and the minimum-transaction thresholds that protect small sellers do not cover every case.
If you are small, the practical protection is conservatism: sell products you understand, from suppliers you have measured, with handling times you can beat.
Seller-caused cancellation is the expensive defect
As on every other platform in this series, cancelling because you cannot fulfil is weighted more heavily than being late. Where you have the choice - and you usually do - ship late.
Sourcing the item at a loss from a faster supplier is frequently cheaper than the defect, once you count the visibility impact rather than just the unit economics.
Dropping a level
Losing Top Rated status costs the fee discount and the visibility benefit at the same time, which compounds: fewer impressions and worse margin on the sales you still make.
Recovery takes a full evaluation cycle of clean trading. There is no fast route back, which is the argument for protecting it rather than repairing it.
The weekly check
Look at the defect measures once a week, not the feedback score. Feedback is the emotional number. These are the ones with consequences.
