PENDINGorUNTRACKEDstatus for an extended period (e.g., 3-5 days post-shipping date), Fetch will highlight this as a potential issue. - Mismatched Carrier Detection: Sometimes a number is valid but for a different carrier than expected. Fetch attempts to auto-detect the correct carrier. If it fails or if the provided carrier consistently returns errors, it's an indicator.
The absence of progress is often as telling as an explicit error message. Fetch is configured to interpret prolonged stagnation as a potential data integrity issue, not just a slow shipment.
Workflow for Rectifying Incorrect Tracking Numbers
When Fetch identifies a potential tracking number error, here's how you should approach it:
1. Identify the Flagged Orders in Your Sheet
Filter your Google Sheet by logistics_status for UNTRACKED or orders stuck in PENDING for more than 72 hours where the order_status is WAIT_BUYER_ACCEPT_GOODS. Also, look for orders where gmt_create is significantly older than the last logistics_update_time while still showing no progress.
2. Cross-Reference with AliExpress
Your first step is always to verify the tracking number directly on AliExpress. Navigate to the specific order on AliExpress and check the tracking information provided there. Sometimes, AliExpress itself might have updated the tracking number without your knowledge, or the initial number provided was simply wrong.
- Go to 'My Orders' on AliExpress.
- Find the corresponding order.
- Click 'Track Order' or view the shipping details.
- Compare the tracking number displayed on AliExpress with the one in your Fetch sheet.
3. Contact Your Supplier (If Discrepancy Found)
If the tracking number on AliExpress is different from what's in your sheet, update your sheet with the correct number. If the tracking number on AliExpress is the same as in your sheet but still shows no updates, or shows an error, it's time to contact your supplier. Provide them with the AliExpress order ID and explain that the tracking number they provided (and is reflected on AliExpress) is not yielding any logistics updates. Ask for the correct, active tracking number or an explanation for the delay.
4. Update Your Fetch Sheet
Once you receive the correct tracking number from your supplier (or find it updated on AliExpress), manually update the tracking_number column for that specific order in your Google Sheet. Fetch will automatically pick up this change during its next sync and attempt to re-track the order with the new information. Ensure the logistics_carrier is also correct, though Fetch is robust in auto-detecting.
5. Monitor for Resolution
After updating, closely monitor the logistics_status and logistics_update_time columns for the rectified order. Within 12-24 hours, you should see updated tracking information if the new number is valid. If it continues to show UNTRACKED or PENDING, repeat the process. Persistent issues may indicate a deeper problem with the supplier or shipment.
Preventative Measures
- Supplier Vetting: Prioritize suppliers known for accurate and timely tracking information.
- Automated Data Entry: If possible, use tools that directly pull tracking numbers from AliExpress into your system to minimize manual errors.
